Step 1: Inquiry & Quote (Day 1–3)

You send an inquiry with: target formula (tofu / bentonite / pine / paper / mixed), expected monthly or annual volume, target market (which country), packaging type (retail bag / bulk / jar), and any certifications you need.

A serious manufacturer replies within 24 hours with: indicative FOB price per kg, MOQ, lead time, available certifications, and sample shipping terms. If a supplier takes longer than 48 hours to respond to a clear inquiry, they are too busy or too disorganized.

Step 2: Sample Development & Approval (Day 3–10)

The factory ships free samples of their standard formula (and any variants you requested) by DHL/FedEx. Sample freight is paid by the buyer (~$25–$45 typical). Standard samples arrive in 3–5 days.

If you need a custom formula (specific clumping %, dust %, scent, granule size, additive), the factory’s R&D team develops a new sample. This takes 7–14 days and may include lab testing for clumping rate, dust content, absorption, and pH.

What to test in your sample:

  • Pour into a litter box with 200ml of water — clumping should be solid within 30 seconds
  • Smell at 30 minutes, 4 hours, 24 hours — does odor hold?
  • Check dust by shaking in a sealed bag — should be minimal
  • Test with your cat (if you have one) — does the cat accept it?

 

Step 3: Contract & Deposit (Day 10–15)

After sample approval, the factory issues a Proforma Invoice (PI) with: product specs, quantity, unit price, total, payment terms, lead time, packaging details, shipping terms (FOB/CIF/DDP), and Incoterms 2020 reference.

Step 4: Production & In-Line QC (Day 15–35)

Production starts immediately after deposit clearance. A serious manufacturer will send weekly production updates with photos of your batch, plus in-line QC reports for: clumping strength, dust content, granule size distribution, moisture content, pH, and bacterial count.

For private label / printed packaging, you must approve the artwork before production begins. The factory’s design team will create a mockup within 24 hours of receiving your logo/brand assets. You get a digital proof, request changes, and sign off on the final version.

Tip: Request samples from the actual production batch (not pre-production samples). Some factories show you great samples but mass-produce inferior product. Insist on pre-shipment samples.

 

Step 5: Pre-Shipment Inspection (Day 35–40)

Before container loading, the buyer (or a third-party inspector like SGS, BV, or TUV) inspects the finished goods. Standard PSI checks: quantity verification, random sampling for clumping/dust/odor tests, packaging and labeling inspection, barcode scan, and weight verification.

If the buyer cannot attend in person, they hire an inspector (~$200–$400 per man-day in China). The inspector sends a report with photos and pass/fail verdict. The factory cannot ship until PSI passes.

 

Step 6: Container Loading & Shipping (Day 40–50)

After PSI passes, the factory loads the container. You receive: Bill of Lading (B/L), Commercial Invoice, Packing List, Certificate of Origin, MSDS sheets, SGS/TUV test reports, and any required phytosanitary or health certificates.

Standard shipping times from Dalian to major ports: 18 days to US West Coast, 28 days to US East Coast, 22 days to Hamburg, 15 days to Dubai, 12 days to Singapore. Your freight forwarder handles booking; the factory handles loading and documentation.

  1. Sample-actual mismatch — Beautiful samples, mediocre production. Fix: Always request pre-shipment samples from the actual batch.
  2. Hidden costs — PI doesn’t include printing plates, design fees, fumigation, documentation. Fix: Get an all-in price quote including every line item.
  3. Wrong labeling for your market — Missing required text, wrong language, wrong barcode. Fix: Provide the factory with your market’s regulatory requirements (e.g., FDA labeling for US, EU REACH for Europe).
